1. Information We Collect

When you create an account, we collect your name, email address, and a securely hashed version of your password. We never store your password in plain text.

When you use Systronix for systematic reviews, we store the research data you provide — including study titles, abstracts, PDFs, screening decisions, and extraction data.

2. How We Use Your Data

  • Account management: authenticating you and managing your projects.
  • AI-assisted screening & extraction: study abstracts and PDF text are sent to the Anthropic API (Claude) for automated screening and data extraction. Anthropic does not use this data for model training.
  • Transactional emails: password resets and account notifications are sent via Resend.
  • Error monitoring: we use Sentry to track application errors. Error reports may include request metadata but not your research data.

3. Data Storage

Your data is stored in a PostgreSQL database hosted on Railway. PDF files are stored on Cloudflare R2. All connections use TLS encryption in transit, and data is encrypted at rest.

4. Third-Party Services

  • Anthropic (Claude API) — AI screening and extraction
  • Resend — transactional email delivery
  • Sentry — error monitoring and performance tracking
  • Railway — backend hosting and database
  • Vercel — frontend hosting
  • Cloudflare R2 — PDF file storage

5. Data Retention & Deletion

We retain your data for as long as your account is active. You may delete your account at any time from your account settings, which will permanently remove your account and all associated projects, studies, and extracted data.

Backups containing your data may persist for up to 30 days after deletion before being permanently purged.

6. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your account and data
  • Export your research data
